In a conference room, the first few minutes always matter. Connecting a laptop, starting a presentation or joining an online meeting should be simple enough for technology not to distract participants from the meeting itself. This was the approach Olympus Business Services took when upgrading the audiovisual systems in its Wrocław office. The company operates as the European shared services centre of Olympus, a global medical technology group.
The client already had a defined global standard for office equipment. Our task was therefore not to develop the concept from scratch, but to translate this standard into specific spaces and user requirements in Wrocław. One of the key challenges on our side was configuring the Yealink devices and software so that all components worked together as one integrated ecosystem. The project was delivered in stages, in response to the client’s evolving needs.
The project covered six meeting and collaboration spaces, including a training room and areas equipped with mobile solutions. The individual spaces differed in how they were used, but the user experience needed to remain as consistent as possible. The goal was to make it easy to start a presentation, join a videoconference and share content without unnecessary preparation. The solution is based on Yealink technology, including videoconferencing systems, pan-tilt-zoom cameras, touch panels, videobars, microphones, ceiling microphone arrays, wireless content-sharing devices and Bring Your Own Device solutions. We complemented these with a professional display system.
The project was delivered in stages, in line with the agreed schedule and the client’s evolving requirements. Today, the solutions we implemented are part of the teams’ everyday work. Users can start meetings efficiently, connect to the system quickly and make full use of the available functions. The client has given positive feedback on our cooperation, the implementation process and the final result.
Over time, the larger meeting spaces have proved particularly successful. The medium-sized room is often chosen by employees even for smaller meetings because of its size and spacious layout, while the large training room is used extensively for training sessions and onboarding new employees. The Olympus office in Wrocław now has a consistent environment for presentations, online meetings and team collaboration, based on the standard adopted across the entire organisation.
