CHALLENGE

Delivering office projects in a field of audio-video means working in a complex ecosystem, where technology meets architecture, and functionality meets aesthetics. A modern office must be flexible and inclusive, adapted to the organisation’s way of working, and at the same time, consistent in terms of technology and acoustics.

 

At the turn of 2024 and 2025, we completed an audiovisual project for a global law firm that has its Warsaw home in one of the modern office buildings in the city centre. It houses more than one hundred lawyers and tax advisors, and it is one of the largest and most prestigious offices of this type in Poland. The client provides comprehensive legal and tax services for international corporations, domestic companies and public institutions, operating in almost all areas of business law.

 

In this project we worked with Colliers, which was responsible for the comprehensive modernisation of the office and entrusted A+V with delivery and installation of the audiovisual systems in all meeting rooms, as well as installation of Digital Signage in shared areas. The task, which at first glance could seem purely technical, in reality required a subtle balance between a global standard, design, and the local needs of users.

 

The project challenges included:

 

➜ Adjusting the room equipment to the design guidelines sent from the company’s headquarters, with a limited design modification possibility.

 

➜ Combining expectations of employees in the Warsaw office with the organisation’s global standards, in order to create a friendly, functional space that is consistent with the image of the brand.

 

➜ Ensuring the reliability and stability of the AV system, which is crucial for international, remote and hybrid meetings.

 

➜ Achieving the highest quality of sound and image during videoconferences.

 

➜ Integrating technology with the interior design so that AV solutions remain discreetly hidden, with no visible cables or devices disturbing the minimalist design.

 

➜ Managing the project in an independent and proactive way, in close cooperation with the general contractor (Colliers), with minimal involvement of the client in construction matters.

 

The client wanted every conversation, whether with external partners, contractors or representatives of the justice system, to run smoothly and without interruptions, just like a face-to-face meeting.

SOLUTION

Our goal was to create a coherent, modern meeting environment that is technologically reliable, yet intuitive to use and aesthetically integrated with the office interior. We proposed equipping the meeting rooms with solutions that follow the client’s global standard, based on tested and trialled devices, with operational stability that we are confident with.

 

One of the biggest technical challenges turned out to be the integration of Dell docking stations (client’s requirement), which were not fully compatible with the other AV devices specified in the design. The A+V team developed an alternative solution by extending the configuration with additional converters and HDMI cables. As a result, the system operates reliably and meets all user requirements.

 

 

Small meeting rooms

 

The project included three small meeting rooms for a maximum of six people each. All of them were designed according to the client’s global standard, with a consistent hardware layout and user ergonomics. The small rooms were equipped with: a single 55-inch display screen, videobars, connection points and docking stations, a Barco ClickShare system for wireless content sharing, as well as control panels and room booking panels. Thanks to this standardisation, each room offers an identical and predictable way of operation, which significantly simplifies everyday use.

 

A special space in the project is the room for remote court hearings, where lawyers connect with the court and clients online. Here, the key factors were: reliable connectivity, natural lighting, and the highest quality of sound and image. The room was equipped with:

Large conference rooms

 

In the larger meeting rooms for 12-16 people, the main challenge was to ensure perfect visibility and audibility for all participants, both during in-person and hybrid meetings. One of the rooms, with a distinctive round table, was designed as a Microsoft Teams Room space. In this room we used:

Divisible / combined room

 

A distinctive element of the project is the modular space, which consists of two large rooms that operate independently in a divided mode and, when combined, can host up to 36 participants. This is where larger team meetings, workshops and daily videoconferences with partners from other countries take place. One part of the room was equipped with:

In the second part of the room, due to the glass walls, we used a display screen on a mobile trolley with electric height adjustment as well as a PTZ camera with a narrower viewing angle and optical zoom, which can precisely follow meeting participants.

 

Both spaces were equipped with a ceiling and wireless microphone system, Dante-based sound distribution and Crestron conference panels. The entire system can be managed from wall-mounted panels, which allows smooth switching between the different modes of the room: separate or combined. This means that users do not need to operate each device with a separate remote control.

 

Other systems supporting the office

 

In the shared areas of the office, on each floor, we installed a 75-inch display screen for Digital Signage, used to display internal content and provide employees with up-to-date information about company life. In addition, we implemented a room booking system with illuminated panels at the entrance to all conference rooms and special spaces such as a room for nursing mothers and phone booths. The reservations system allows employees to easily check whether a given room is available and, if necessary, to book it quickly on ad-hoc basis.

EFFECT

The new office of the Warsaw branch of the global law firm has become a space where technology operates discreetly, but reliably. It supports conversations and creates a coherent, intuitive ecosystem that allows users to focus on the content of meetings, not on the tools.

 

We delivered the project within a very tight schedule. The installation took place at the turn of the year (Christmas and New Year period), and the project commencement date was delayed by more than one week. This situation showed us how important flexibility, quick reaction to changes and ongoing communication with the client are. In practice, it required us to reorganise the schedule, work in very close cooperation with other contractors and complete tasks quickly, but in the most collaborative and friendly atmosphere possible. Thanks to this approach, despite demanding conditions, we were able to successfully bring the project to completion in a way that satisfied the client.

 

The A+V team maintained control over every stage of the project, as well as flexibility and creativity in action – from integration, through testing, to user training. As a result, all rooms operate in an intuitive, consistent and stable way.
