Studio in the office – How to create and plan a project?
2025 | mayStudio in the office – How to create and plan a project?
Today, video content is one of the most powerful communication and sales tools. Companies that want to grab the attention of their audiences must focus on quality and innovation. In a world overloaded with content, it’s becoming harder not only to stand out but also to maintain attention for more than a few seconds.
Good quality video and a creative approach are no longer nice-to-have’s – they are a must. That is why more and more organizations are creating their own internal video, webinar, and podcast studios. They are used to:
- build a strong presence on social media,
- stand out from the competition,
- boost employer branding,
- support internal and external communication,
- encourage employees to come back to the office,
- offer new benefits to employees.
Green screen? A classic that still works.
Green screen, also known as chroma key or green box, is a technique that allows a solid background to be replaced with any image or animation. This technique has evolved over decades and became widely used in the 1930s, later gaining huge popularity thanks to Hollywood. Today, green screens are a standard part of video production, used everywhere from the biggest movie blockbusters to recordings made in corporate studios.
A television-style studio with a green screen background is a solution that can transform any room into a professional recording space, perfect for creating a variety of video content for your organization. Such a studio makes it easy to create:
- promotional and employer branding videos,
- podcasts, webinars, training and recruitment materials,
- social media content,
- recordings of internal events and conferences,
- interviews and expert panels.
The best part is that, with properly selected equipment, companies can produce high-quality content without needing additional technical support.
Who really needs an internal studio?
The short answer is: everyone who creates video or audio content as part of their work.
From the perspective of our 12 years of experience delivering AV projects, we know that the decision to create a recording studio is rarely made on impulse. It is usually a result of strategic needs within an organization and internal agreements between departments.
That was exactly the case with one of our clients from the legal sector, who approached us with a clear vision for a video recording studio. It was a well-thought-out decision, initiated by the marketing department, although the responsibility for project delivery was assigned to a different team.
In another case, a client from the retail sector decided to create a podcast studio based on the results of employee surveys. Different departments were asked what activities they would like to be able to do in the office without renting external spaces. Having frequent access to a fully equipped recording booth was particularly important for one of the teams responsible for training client sales representatives.
Situations like these clearly show how important good communication between teams is during such projects. As an AV integrator, we don’t just deliver technology – we help identify and understand the needs of all involved parties and create a platform for communication between them. In this case, the studio was designed to serve a dual purpose – both for recording and for conferencing – allowing the client to maximize the use of space and budget.
In-house studios also save money by eliminating the need to rent external spaces. They save time by reducing travel to outside locations and increase accessibility, offering dedicated recording spaces for employees whenever they need them.
Boosting the efficiency of creative, training, and marketing teams is another strong motivator for such an investment. Unlike investment decisions, creative ideas often come spontaneously – and having a studio ready on-site means those ideas can be brought to life immediately.
Planning a studio: step by step
Planning a studio is a process that requires careful consideration of many aspects before moving on to implementation. Here are a few key steps you should take into account.
Define your real needs
Think about: what the studio will be used for, who will use it, whether it will be for audio, video, or hybrid content (e.g., recordings and livestreams). This will help set the technical and functional requirements from the start. It is important to remember that a studio will need different infrastructure than a typical meeting room. Expect needs like 4K video recording, professional lighting, and proper acoustics.
Match the space to the tasks
The space should match the needs of its users: Do you need a small podcast room or a full video production space? Will a green screen be enough or would an LED wall work better? In new office designs, it is worth planning: a location away from noisy corridors, additional soundproofing and double doors.
Work with experts
During a consultation with an AV specialist, you can determine which technology will work best for your studio to ensure high recording quality and comfortable operation.
You will also learn, for example, which microphones to choose – the ones that are discreet and will not block the speaker’s face, while still providing clear, professional sound.
During the consultation, we discuss key areas such as:
- Choosing the right equipment – including cameras, microphones, preview monitors, and control systems.
- Studio lighting – how to create professional recording conditions even in spaces that were not originally designed for it.
- Sound system and acoustics – what solutions can help eliminate echo and unwanted background noise.
- Technology integration – how to connect all elements into one cohesive and efficient system.
By consulting with AV specialists, you can avoid costly mistakes, choose the right equipment for your needs, and build a professional studio that will meet both your expectations and those of your audience. Often, it does not take much to significantly improve sound quality: curtains, heavy drapes, acoustic ceilings, or wall panels can go a long way in reducing echo and creating an ideal recording environment.
Smart planning and even a few thoughtful adjustments can turn an ordinary room into a professional and comfortable studio space, ready for video recordings, webinars, podcasts, or live events.
Choose the right AV integrator
If you are creating a typical recording space for webinars, podcasts, or internal events, look for an integrator who knows audio, video, networking, and room acoustics. If you need a full broadcast studio, you will need a company specializing in TV production setups, but this is a much more expensive solution.
Start planning early
Working with an AV integrator from the very beginning of the project helps avoid costly mistakes. An experienced specialist will make sure that all technical elements are properly integrated from the placement of power outlets (planning floorboxes), to the installation of acoustic panels, and even adjusting the air conditioning system to handle the extra heat generated by LED screens. It is also a good idea to consult someone with experience in similar projects, to ensure that nothing important is overlooked.
Designing a studio should be a careful, step-by-step process, considering both your goals and available resources.A well-thought-out plan, clear internal needs assessment, and the right expert support will allow you to create a space perfectly tailored to your requirements without constant changes, costly revisions, or frustrations.
The end result will be a studio that works the way it’s supposed to, and one that keeps your employees happy and satisfied instead of causing ongoing issues.
Our top tips for building an internal studio
When designing a video or podcast studio, there are a few key elements we recommend focusing on. What should you pay special attention to? Here is our advice:
➔ Take care of the right background for recordings
You have two great options here: install an LED wall to display any visual content, or choose a green screen background to add virtual scenery later. An LED wall is a modern solution that allows you to create spectacular, seamless screens in any size or shape, turning any space into a dynamic, multimedia experience.
Always have a preview monitor for hosts and guests – A preview monitor is an invaluable tool during video production. It lets you monitor recording quality in real time, catching issues like focus, white balance, or exposure errors early. For presenters, having a preview screen nearby helps them control their gestures, position, and expressions, adjusting naturally to the final frame. It is a simple way to increase the precision and professionalism of any recording.
➔ At least 2 PTZ cameras with tripods
We recommend using at least two cameras. This allows smooth scene switching and avoids static, boring shots. Using just one camera often forces either wide, unmoving frames or chaotic zooming and panning, both of which reduce video quality.
Two cameras are the standard one for a wide shot of the whole stage and one for close-ups of speakers or key details, ensuring a dynamic, professional effect. More cameras allow even more possibilities, especially for complex setups like debates, panel discussions, or dynamic events.
With PTZ cameras, the operator can remotely adjust framing using preset camera angles, making the whole production smoother and more professional.
➔ Wireless touch panel for system control
We recommend using a wireless touch panel (like an iPad) for easy vision control. The layout can be customized to the user’s needs switching active cameras, triggering preset positions, manually adjusting shots, or changing virtual backgrounds.
➔ Video recording and processing system
A system like Tricaster offers powerful capabilities, but it does require someone who knows how to operate it. If you do not have a trained person yet, we offer basic training as part of the installation process. This way, your team will know how to display presentations, switch graphics, or start recordings without needing deep technical knowledge.
➔ Microphone set
We recommend wireless lavalier microphones. They offer freedom of movement, stay discreetly hidden, and ensure a natural and professional appearance during recordings.
➔ Wireless in-ear monitors
Wireless in-ear monitors are a great tool that allows hosts to communicate easily with remote guests or co-hosts during recordings.
➔ Network switch, WiFi Access Point, and router
These devices create the network for the studio’s control system, ensuring everything runs smoothly. While users usually don’t even notice them, they play a critical role. For reliability, the system is configured so users do not have direct access, reducing the risk of accidental misconfiguration.
➔ LED Lighting Panels and Lighting Stands
Proper lighting is crucial for high-quality recordings. Special LED lighting is designed to eliminate harsh shadows and evenly light the scene, helping presenters look natural and professional. Good lighting also reduces unwanted reflections and sharp contrasts, creating a cleaner, more polished video.
➔ Webinar or Video Conference?
You do not have to choose – a well-designed studio can be integrated with up to four videoconferencing platforms simultaneously, enabling smooth communication with participants from multiple locations.
Studio = investment that pays off
A modern recording studio can significantly boost the quality of the video materials produced by your company. With the right setup, you can record professional videos, run webinars, conduct training sessions, and broadcast live events without relying on external providers.
Key elements like an LED wall, green screen, advanced vision mixing system, PTZ cameras, and professional LED lighting ensure high-quality video and audio production. At the same time, intuitive control systems make the studio easy to operate, even for non-technical users. And thanks to full integration with videoconferencing platforms, it is easy to connect with audiences around the world.
More than just equipment – the key to effective communication
A properly designed studio is more than just technology, it is a tool that: supports effective communication, boosts team productivity, strengthens your brand image, engages your audiences and even encourages employees to return to the office.
Having your own recording space gives you full control over content quality and messaging, while also saving time and costs usually spent on renting external studios. It is an investment that quickly pays off, enabling your company to tackle even the most ambitious communication projects.
